Overview

Vykin Corporation is currently looking for an experienced TS/SCI cleared Office Manager to join our team in McLean, VA. We are a small defense contracting company that is veteran owned servicing the US Department of Defense. The successful candidate will receive competitive wages, health plans and the opportunity to join a small company that still believes every employee counts.

Responsibilities

  • Provide staff support to a directorate office and its leadership of both administrative and technical nature.
  • Support the directorate Business Continuity Planner in the definition of prioritized continuity procedures, roles, responsibilities, and resources necessary for complete restoration or continuance of critical business processes, to include the development of associated recall roster and emergency notification chains.
  • Serve as suspense coordinator; responsible for all taskings to include those from external Agency's, internal offices, and staff packages.
  • Receive, research, and prioritize taskings for the Directorate providing guidance work to appropriate action officers within the organization.
  • Coordinate tasking responses to ensure that the policies, opinions, and perceptions of the Directorate are fully coordinated and accurately reflected.
  • Assist personnel and leadership with Defense Travel System, as necessary.
  • Support governance and fora management activities to include meeting minutes, schedules, and action tracking.
  • Maintain office level intranet sites to include creating and maintaining SharePoint files
  • Write reports on behalf of the office to include weekly activity reports, CONOPS, and other written communications as required
  • Identify, analyze, and resolve business and administrative operation issues and challenges that are central to the effective conduct of their activities.
  • Run weekly calendar update meeting, Weekly Staff Meetings and Weekly Senior Leadership Stand-up Meetings - prepare agenda, collate briefings from the various divisions, run the presentations during the meetings
  • Conference room coordination for Front Office Personnel
  • Update Director briefing books
  • Prepare staff packages for coordination
  • Manage video teleconference (VTC) scheduling for meetings
  • Review, edit, and format documents for Director
  • Front office records management
  • Attend daily stand-up meeting to address scheduling and other issues with the Director, Deputy Director, Chief of Staff, and others.

Qualifications

Required:

  • Bachelor's Degree in a related field or the equivalent years of experience.
  • Minimum of (7) years of experience within a related field
  • Possess strong SharePoint knowledge and skills to assume responsibility to manage office actions, coordination and records management to meet compliance requirements.
  • An active in-scope TS/SCI clearance
  • Ability to pass and obtain a Full Scope Polygraph

  • Possess strong organization, customer support, and communication skills, as well as the ability to solve problems and assume responsibility for actions and complete assignments within a designated timeframe.
  • Apply critical thinking with problem solving to identify, develop, prioritize, and satisfy tasks within a schedule or timeline, in an environment where requirements frequently change.
  • Employ organizational or administrative skills to satisfy tasks that require attention to detail.
  • Able to identify, recommend, or implement process improvements.
  • Apply creative thinking to implement ideas.
  • Knowledgeable in IC, DoD, and Federal communications processes and the implementation of communications activities in a large IC organization.
  • Experience and ability to interface with different personalities in a range of positions, including many at very senior levels within multiple agencies as well as the ability to work with senior management up to the director level.

  • TS/SCI w/ FSP

Working Conditions

The work is typically performed in an office environment, which requires normal safety precautions; work may require some physical effort in the handling of light materials, boxes or equipment.  The work location is a government facility located on a military installation in McLean, VA supporting a DoD customer.  The successful applicant will be working for and reporting directly to the prime contractor or the DoD customer as appropriate.
